Accounting Operations Specialist

This position is an effective executor, an inclusive relationship builder, and a strategic thinker within the organization, maintaining controls of financial transactions and performing accounting functions.

This role is responsible for the following areas of our client-focused, professional association management business:

General Accounting

  • • Maintain accounting systems, procedures, methods, including record-keeping, accounts report and general ledger.
  • • Accurately post transactions to journals, ledgers, and other records in a timely manner.
  • • Prepare monthly reconciliation of balance sheet accounts, including bank reconciliation and account analysis.
  • • Generate monthly financial statements, including, review and distribution of financial statement packages.
  • • Prepare monthly allocation schedules for direct expenses, including employee benefits, administrative and operation costs, etc.
  • • Support the preparation and maintenance of annual budgets.
  • • Develop and maintain monthly budgets and forecasting projections.
  • • Manage banking relationships.
  • • Support and participate in client finance committee meetings.

Payroll and Benefits

  • • Process payroll (onPay)
  • • Timely transfer of SimpleIRA contributions
  • • Monitor accruals, process payment of expense reports

Operations Specialist

The ideal candidate will be an integral part of our team: collaborating with and supporting our team in support of our clients and members. The Operations Specialist is a mid-level position and the ideal candidate takes initiative in managing the daily operations for one of our client associations, helping make sure the work gets done while contributing to our collaborative and engaging culture. We’re looking for someone with a strong potential for developing into a senior level executive operations specialist.

 

Responsibilities:

• Extensively and constantly coordinate, develop, and maintain administrative processes, programs, procedures, projects, and activities for many stakeholders

• Effectively communicate with the COO, other team members, and clients to share information, ensure consistency, anticipate needs and next steps, and deliver high quality service and results on time

• Provide support by engaging with the COO – and also acting independently

• Create and manage documents, design presentations, schedule meetings, prep/plan/facilitate/close events, track expenses, and manage vendors

• Act as the central point of contact and liaison for PCAM clients via phone, email, etc.; respond to requests for information and assist with solving problems

• Maintain association awards and databases, plan and coordinate programs; fully support client committees, strategic plans, boards, and students/residents

• Recommend automation, process improvements, opportunities for additional efficiencies, etc.

Knowledge/Education:

  • • 2+ years of directly related administrative/executive assistant experience (multi-organization, multi-leader, or matrix structure preferred)
  • • Experience managing projects, programs, and/or training is very helpful
  • • Associate’s degree strongly preferred (administrative, business, or related)
  • • Proficient in standard software (word processing, database, presentation, spreadsheet, and email)
  • • Experience with non-profit and/or association management organizations a plus
